Job Summary:
The Executive Secretary provides high-level administrative support to the executive team, ensuring the efficient operation of the office through effective coordination, communication, and documentation. The role involves managing executive schedules, preparing reports, handling confidential information, and facilitating smooth communication between departments and external stakeholders.
Key Responsibilities:
· Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
· Prepare and edit correspondence, reports, presentations, and other documents.
· Organize and maintain electronic and physical filing systems for easy access and retrieval.
· Screen and prioritize incoming communications, emails, and phone calls, responding where appropriate.
· Coordinate and follow up on tasks and projects assigned by the executive team.
· Prepare meeting agendas, take minutes, and distribute them promptly.
· Liaise with internal departments and external partners to ensure timely information flow.
· Handle sensitive and confidential information with discretion.
· Ensure smooth day-to-day operations of the executive office.
· Manage office supplies and ensure availability of necessary materials.
· Support the preparation and coordination of company events, conferences, and business meetings.
· Assist in preparing executive reports, summaries, and briefings.
· Maintain accurate records of decisions, approvals, and communications.
· Track project progress and deadlines, providing regular status updates.
Qualifications:
· Bachelor’s degree in Business Administration, Office Management, or a related field.
· Minimum of 3–5 years of experience in a similar executive or administrative support role.
· Strong command of English (both written and verbal); proficiency in other languages is a plus.
· Excellent organizational, time management, and multitasking skills.
· High level of professionalism, integrity, and discretion.
Skills and Competencies:
· Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Strong interpersonal and communication skills.
· Attention to detail and problem-solving abilities.
· Ability to work under pressure and meet tight deadlines.
· Strong sense of initiative and self-motivation.
Working Conditions:
Full-time position, typically office-based with standard working hours. May require occasional overtime or travel depending on executive needs.
Job Type: Full-time
Pay: QAR13,000.00 - QAR15,000.00 per month
