Key Responsibilities
- Manage and maintain the executive’s calendar: schedule appointments, coordinate meetings, and prepare itineraries.
- Screen and direct incoming phone calls, emails and other communications; act as a point of contact between the executive and internal/external stakeholders.
- Prepare, edit and distribute correspondence, reports, presentations, minutes of meetings and other documents in a timely and professional manner.
- Organize travel arrangements and logistics (flights, accommodation, visas, itineraries) for the executive and senior leadership as required.
- Maintain filing systems (digital and paper), records and archives, ensuring accuracy, organization and confidentiality.
- Coordinate internal and external meetings and events, including preparation of agendas, meeting materials and follow-up action items.
- Monitor office supplies and procurement, negotiate with vendors, maintain budget tracking (if applicable) for the executive’s office.
- Provide administrative support to the team / departments as required, and perform ad-hoc tasks to support the smooth functioning of the executive office.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Communications or a related field; OR equivalent professional experience.
- Proven experience in a similar executive support, secretarial or administrative role (typically 2-5 years).
- Excellent command of [English] – both written and verbal.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Outstanding organizational skills, with ability to priorities tasks, multitask, meet deadlines and maintain attention to detail.
- High level of discretion and ability to handle confidential information professionally.
- Strong interpersonal and communication skills; ability to interact with stakeholders at all levels.
- Willingness to adapt to changing priorities in a fast-paced environment.

Pay: BD400.000 - BD500.000 per month
