We are seeking an enthusiastic and dynamic Exhibition Project Manager to join our team. This is a pivotal position that blends strategic planning, operational execution, and stakeholder engagement to ensure the successful delivery of exhibitions and conferences.
The role reports directly to the Managing Director and encompasses full responsibility for a dedicated portfolio of events, from initial concept through to post-event evaluation. You will manage budgets, timelines, and both internal and external stakeholder relationships, ensuring each project is delivered on time, within scope, and to the highest standards.
In addition to leading individual projects, you will also contribute to cross-functional initiatives and support broader team objectives. With increasing demands for innovation and efficiency in the events sector, you will be expected to leverage modern tools, streamline processes, and bring a forward-thinking approach to exhibition management.
The ideal candidate is detail-oriented, proactive, and thrives in fast-paced, deadline-driven environments.
KEY RESPONSIBILITIES
· Oversee the end-to-end planning and execution of assigned exhibitions, ensuring alignment with the strategic goals and budgets set by management
· Lead the full exhibition cycle, from concept development and planning to onsite execution and post-event evaluation
· Collaborate with other managers and departments to support additional events and ensure a unified approach across projects
· Design and implement effective marketing campaigns tailored to each exhibition
· Plan and execute exhibitor promotion strategies to drive sign-ups, upselling, and brand exposure
· Lead sales efforts, secure sponsorships, and build strong relationships with key stakeholders, corporate buyers, and industry leaders
· Develop and implement visitor promotion campaigns to increase awareness, engagement, and footfall
· Coordinate with marketing teams to align messaging and increase audience engagement
· Manage digital marketing activities including social media, email campaigns, paid ads, and search engine promotions
· Monitor and analyze digital campaign performance, adjusting strategies to optimize lead generation and conversion
· Coordinate internal resources and third-party service providers for seamless project execution
· Ensure exhibitions comply with all relevant local laws and uphold the organization’s quality standards
· Establish and maintain strong relationships with clients, partners, and other key stakeholders
· Track project performance and milestones to evaluate the successful completion of both short-term and long-term objectives
· Develop and implement risk management plans to address project-related challenges proactively
· Supervise on-site production and manage all activities during event days
· Conduct post-event evaluations, gather data, and prepare reports on performance and areas for improvement
· Create and manage detailed event budgets, ensuring financial accountability throughout the project lifecycle
· Mentor, support, and guide junior project team members when applicable
· Contribute to wider company activities and assist in cross-functional initiatives as needed
