Role Purpose
The Expeditor is responsible for monitoring, coordinating, and ensuring the timely delivery of project materials, equipment, and services. This role acts as the main link between the project team, procurement, suppliers, and logistics to avoid delays and ensure project schedules are met.
Key Responsibilities
1. Procurement Follow-up
- Track purchase orders and ensure suppliers meet contractual delivery dates.
- Maintain regular contact with vendors to monitor order progress.
- Obtain and review vendor documentation (inspection reports, shipping details, compliance certificates).
2. Logistics & Delivery Coordination
- Follow shipments from supplier to project site, including customs and clearance processes.
- Coordinate with freight forwarders, warehouse teams, and site logistics for smooth delivery.
- Troubleshoot delivery or transport issues to minimize project disruption.
3. Schedule Support
- Align delivery schedules with project milestones and update project teams on risks of delays.
- Support project planners with accurate delivery timelines for material tracking reports.
4. Documentation & Reporting
- Prepare and update expediting logs, supplier performance reports, and delivery trackers.
- Ensure all records of communication with vendors are documented.
- Report any issues that may impact project timelines to management promptly.
5. Stakeholder Communication
- Liaise between procurement, engineering, logistics, and site teams for smooth coordination.
- Conduct supplier meetings and progress reviews when required.
Qualifications & Skills
- Bachelor’s Degree in Supply Chain, Business Administration, Engineering, or related field.
- 3–5 years’ experience in expediting, procurement, or supply chain within project-based encironment.
- Strong knowledge of project procurement processes and logistics.
- Excellent communication, follow-up, and negotiation skills.
- Ability to work under pressure and meet strict deadlines.
- Proficiency in MS Office and ERP systems (SAP, Oracle, etc.).
