Work Schedule: 8AM - 5PM (times may vary) 5 days a week (schedule to be set

Monday - Friday initially then may be subject to change Tuesday - Saturday).

Salary: 5,500 - 7,000 AED per month

Probation period: 6 months

Scope of Responsibilities

The ECC will begin hosting families in January 2026. Until then, the Administrator will primarily focus on pre-opening preparation to ensure a smooth launch. Following the opening, responsibilities will expand into the full scope of daily operations.

Pre-Opening Responsibilities (2025 – Jan 2026):

  • Supporting regulatory licensing processes (KHDA, DM, DCD).
  • Assisting with recruitment, onboarding, and staff file preparation.
  • Coordinating procurement of furniture, learning resources, and supplies.
  • Managing supplier research, negotiations, and contracts.
  • Supporting marketing and admissions activities (flyers, campaigns,
  • pre-enrolment management).
  • Organising administrative systems, filing structures, and Google
  • Workspace accounts for staff.
  • Assisting with event planning for the launch and community engagement.

As a Nursery Administrator, key responsibilities will include, but are not limited to:

Admissions & Records Management

  • Managing enrolment and admissions processes.
  • Maintaining student records and staff files.

Staff Coordination & HR Support

  • Scheduling staff rotas, tracking attendance, and maintaining leave/performance records.
  • Assisting with recruitment, contracts, references, and onboarding (including visa
  • processing).

Finance & Compliance

  • Handling billing, invoicing, and fee collection in coordination with the accountant.
  • Ensuring compliance with KHDA, DM, DCD, and other licensing, health, and safety requirements.

Administration & Management Support

  • Managing calendars, appointments, and correspondence.
  • Preparing reports, presentations, and meeting minutes.
  • Coordinating events, parent meetings, and staff training sessions.

Operations & Procurement

  • Filing and organising nursery records.
  • Ordering supplies, managing inventory, and allocating resources to classrooms.
  • Researching and negotiating with suppliers for resources, catering, cleaning, and furniture.
  • Running errands/shopping for nursery items when required.

Marketing & Community Engagement

  • Supporting marketing efforts including printing, flyer distribution, banners/flags approvals, and ensuring quality standards.
  • Creating and managing Google Workspace accounts for staff.

ECA Management

  • Coordinating after-school clubs, enrichment programs, and holiday camps.
  • Liaising with external providers (music, sports, arts, languages) and ensuring quality, safety, and alignment with the nursery’s philosophy.
  • Scheduling activities to balance academic, creative, and recreational opportunities for children.
  • Handling registrations, payments, and communications with parents regarding extra-curricular offerings.
  • Organising logistics for transport, equipment, and facilities required for activities.
  • Monitoring attendance and ensuring accurate record-keeping for all programs.
  • Collecting feedback from parents and children to continuously improve extra-curricular offerings.
  • Ensuring all external partners comply with health, safety, and child safeguarding standards.
  • Supporting the promotion of extra-curricular activities through newsletters, flyers, and parent communication channels.

Requirements

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Education, or related field (preferred).
  • Minimum 2–3 years’ experience in an administrative or coordinator role, ideally within an early years/education environment.
  • Familiarity with UAE regulations relating to nurseries and early childhood (KHDA, DM, DCD).
  • Experience with HR, finance, and compliance processes.
  • Driving License (preferable)

Technical Skills

  • Strong computer literacy, especially Google Workspace (Docs, Sheets, Drive, Gmail, Calendar).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Comfort with admissions and fee management systems (experience with nursery/school MIS is a plus).

Other Requirements

  • Candidates are required to possess strong proficiency in both spoken and written
  • English. Knowledge of Arabic will be regarded as an asset.
  • Must meet UAE legal requirements for employment (police clearance, etc.).
  • Willingness to occasionally work evenings/weekends for events, if required.

Job Types: Full-time, Permanent

Pay: AED5,500.00 - AED7,000.00 per month
