Job Description:

We are looking for a reliable and organized Export and Admin Coordinator to join our team. This role involves managing export operations, coordinating with internal and external stakeholders, and supporting administrative tasks to ensure smooth business processes.

Key Responsibilities:

  • Receive and process customer orders, including preparation of Performa Invoices and Order Confirmations.
  • Coordinate with the Production Department to ensure customer requirements are fulfilled accurately and on schedule.
  • Prepare export documentation, including Commercial Invoices, Packing Lists, and Form E.
  • Liaise with customs agents and freight forwarding companies (e.g., Schenker, Seafreight Advisors) to arrange and monitor shipments.
  • Track shipments and provide regular status updates to relevant stakeholders.
  • Handle banking transactions and documentation related to export activities.
  • Communicate and coordinate with suppliers regarding procurement and order-related matters.
  • Support general administrative tasks and maintain organized records of all export and logistics activities.

Qualifications:

  • Prior experience in export operations, logistics, or administrative coordination.
  • Strong understanding of export documentation and international shipping procedures.
  • Excellent communication and organizational skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and manage multiple tasks efficiently.
  • Familiarity with customs clearance processes and working with freight forwarders is a plus.
