Key Roles & Responsibilities
1. Multi-Site Facility Operations
- Oversee day-to-day operations of both office facilities.
- Ensure uninterrupted functioning of power, DG sets, UPS systems, HVAC, networking rooms, and IT server rooms.
- Maintain high standards of housekeeping, security, and office upkeep.
- Ensure office readiness for client visits and leadership meetings.
2. IT Infrastructure Support Coordination
- Coordinate with IT teams for data center/server room maintenance.
- Ensure proper environmental controls (temperature, humidity, ventilation).
- Support cabling, workstation setup, seating arrangements, and expansions.
- Ensure minimal downtime impacting business continuity.
3. Preventive & Breakdown Maintenance
- Develop and implement preventive maintenance schedules for all critical equipment.
- Ensure timely resolution of breakdowns and service requests.
- Maintain AMC contracts and service records.
- Monitor response times and service quality.
4. Vendor & Contract Management
- Manage facility vendors including security, housekeeping, HVAC, electrical, plumbing, food and civil contractors.
- Negotiate contracts and manage renewals.
- Ensure SLA adherence and cost optimization.
- Evaluate vendor performance periodically.
5. Compliance & Safety
- Ensure compliance with local municipal regulations, fire safety norms, electrical standards, and statutory requirements.
- Conduct fire drills and emergency response training.
- Maintain all compliance documentation and audit readiness.
- Implement workplace safety policies.
6. Budgeting & Cost Control
- Prepare annual and quarterly facility budgets for both sites.
- Monitor expenses and control operational costs.
- Identify and implement cost-saving initiatives.
- Validate vendor invoices and track payments.
7. Space & Workplace Management
- Plan seating capacity and optimize workspace utilization.
- Manage office expansions, relocations, and layout changes.
- Oversee asset tagging and tracking.
- Ensure ergonomic and employee-friendly work environments.
8. Employee & Stakeholder Support
- Act as the single point of contact for facility-related escalations.
- Address employee complaints related to infrastructure.
- Coordinate with HR and IT for onboarding workstation readiness.
- Support employee engagement activities from a facilities standpoint.
9. Reporting & Documentation
- Submit monthly facility performance reports.
- Track maintenance logs, asset registers, and compliance records.
- Maintain audit documentation and inspection reports.
Qualifications & Experience
- Bachelor’s Degree / Facility Management / Operations
- 6–10 years of experience in corporate/IT facility management
- Experience handling multiple facilities preferred
- Strong knowledge of electrical systems, HVAC, UPS, DG, fire safety, and compliance
