Position Overview
We are looking for a dynamic and experienced Factory HR Manager to lead HR and administration across the factory, branches, and head office. The ideal candidate will have 8–10+ years of HR & Admin experience in manufacturing (apparel/workwear preferred) with strong expertise in statutory compliance, audits, payroll oversight, recruitment coordination, training & development, and policy framing. This role reports directly to the Managing Director.
Key Responsibilities1. HR Leadership & Strategy
- Develop and implement HR strategies aligned with business goals.
- Act as a strategic HR partner to the MD and senior management for manpower planning, policy, and people initiatives.
- Ensure smooth HR operations across the factory, branches, and HO.
2. Factory HR & Statutory Compliance
- Ensure full compliance with Factory Act, labor laws and statutory norms (PF, ESIC, Minimum Wages, Bonus, Gratuity, etc.).
- Manage HR records, registers, inspections, and prepare for factory audits (SEDEX, BSCI/RAPS).
- Liaise with statutory authorities and external auditors/consultants.
3. Payroll Oversight & Compliance
- Oversee end-to-end payroll processing carried out by the payroll/HR team or external vendor.
- Ensure accurate payroll computations, timely statutory filings and zero discrepancies.
- Investigate and resolve any payroll errors or employee payroll grievances promptly.
- Train and update the HR/payroll team on any statutory amendments, payroll rules, and compliance changes.
- Coordinate with Finance for salary budgeting, reconciliations, and timely salary disbursements.
4. Recruitment & Talent Acquisition
- Collaborate with recruitment team to source, screen, and onboard factory and office staff.
- Maintain manpower plans, trackers, and ensure timely closure of open positions.
- Build relationships with local training institutes, contractors, and agencies for sourcing skilled labor.
5. Training & Development (Added)
- Design, implement and monitor training programs for factory and office staff (technical skills, SOPs, quality, safety, supervisory skills).
- Coordinate onboarding training and periodic upskilling programs to improve productivity and reduce rework.
- Measure training effectiveness and maintain training records and budgets.
6. Policy Framing & Administration
- Frame and update HR policies and SOPs (attendance, leave, performance, discipline, code of conduct).
- Ensure consistent policy communication and implementation across all sites.
- Oversee factory administration, housekeeping, safety, and facility management.
7. Employee Relations & Engagement
- Handle grievances, disciplinary matters, counseling and conflict resolution with fairness.
- Plan engagement activities, welfare programs, and employee communication to build positive culture.
8. Vendor & Stakeholder Coordination
- Manage relationships with manpower vendors, payroll vendors, auditors, and service providers.
- Ensure vendor compliance with statutory and company policies and maintain vendor documentation.
9. HR Budgeting & Audit
- Prepare department-wise HR budgets, yearly welfare/event budgets and control HR spend.
- Support social and statutory audits by ensuring documentation, corrective action tracking and closure.
Qualifications & Requirements
- Education: MBA (HR) or equivalent.
- Experience: 10 - 12+ years in HR & Administration, preferably in manufacturing (apparel/workwear).
- Knowledge & Skills:
- Strong understanding of Indian labor laws, Factory Act and statutory compliance.
- Experience in overseeing payroll processes and statutory filings.
- Hands-on experience with recruitment coordination and HRIS/payroll systems.
- Experience in training design & delivery, and in managing social audits (SEDEX/RAPS/BSCI).
- Excellent leadership, communication, problem-solving, and stakeholder management skills.
- Preferred: Prior experience in industrial garment / workwear manufacturing.
