Job Description: Front Desk Officer (FDO)

Position Overview

The Front Desk Officer will be the first point of contact for clients, responsible for welcoming visitors, managing appointments, handling inquiries, and ensuring a smooth front-desk operation. This role requires excellent communication, customer service, and organizational skills to reflect the professional image of Aesthetics Lab by Tibbi.

Key Responsibilities

  • Client Reception: Greet and welcome clients in a professional, courteous manner.
  • Appointment Management: Schedule, confirm, and manage client appointments to ensure smooth flow.
  • Communication: Handle phone calls, WhatsApp, and email inquiries promptly and professionally.
  • Client Records: Maintain accurate client data, files, and treatment history in the system.
  • Coordination: Assist doctors, aestheticians, and management with scheduling and operational support.
  • Payments & Billing: Manage billing, invoicing, and receipt issuance for treatments and services.
  • Customer Service: Address client queries, provide basic information about services, and escalate concerns where necessary.
  • Front Desk Management: Ensure reception area is tidy, well-organized, and welcoming at all times.
  • Reporting: Share daily appointment and cash collection reports with management.

Requirements

  • Bachelor’s degree (preferred) or Intermediate with relevant experience.
  • 1–3 years of experience in customer service/front desk, preferably in healthcare, aesthetics, or hospitality.
  • Proficient in MS Office and appointment management software.
  • Excellent communication skills (English & Urdu).
  • Professional appearance and client-handling skills.
