Job Overview:

We are looking for a professional, well-groomed, and experienced Female Receptionist to be the face of our aesthetic clinic. The ideal candidate will manage front desk operations, handle client inquiries, coordinate appointments, and ensure exceptional customer service while maintaining the clinic's premium standards.

Key Responsibilities:

Front Desk Management: • Greet and welcome clients in a warm, professional manner • Manage the reception area ensuring it remains clean, organized, and presentable • Answer incoming calls, emails, and WhatsApp messages promptly and professionally • Handle walk-in clients and provide information about treatments and services • Maintain visitor logbook and client records

Appointment Management: • Schedule, confirm, and coordinate client appointments with doctors and specialists • Manage appointment calendar efficiently to optimize clinic operations • Send appointment reminders via call, SMS, or WhatsApp • Handle appointment cancellations and rescheduling requests • Coordinate with medical staff regarding patient flow

Client Service: • Provide detailed information about aesthetic treatments, procedures, and pricing • Address client queries and concerns professionally • Ensure smooth patient check-in and check-out process • Collect payments and issue receipts • Maintain client confidentiality and privacy at all times • Follow up with clients for feedback and future appointments • Handle client complaints tactfully and escalate when necessary

Administrative Tasks: • Maintain accurate client database and records in clinic management system • Update patient files and medical records as required • Prepare daily appointment schedules and reports • Manage clinic inventory of brochures, forms, and stationery • Coordinate with other departments for seamless operations • Handle petty cash and maintain records

Required Qualifications:

Essential: • Minimum 3 years of experience as Receptionist/Front Desk (Mandatory) • Female candidates only • Excellent communication skills in English (Arabic/Hindi is a strong advantage) • Professional appearance and grooming • Pleasant personality with customer-oriented approach

Preferred: • Experience in healthcare, aesthetic clinic, hospital, or medical facility • Knowledge of aesthetic treatments and procedures • Familiarity with clinic/hospital management software • Experience handling cash and billing systems
