Field Coordinator – B2B Realty
Job Description
B2B Realty, a leading property management and brokerage firm, is seeking an exceptional Field Coordinator to join our growing team in Cleveland, Ohio. The ideal candidate will bring a strong background in field operations, logistics coordination, and process management. This role requires exceptional organizational skills, proactive problem-solving, and a commitment to operational excellence. As a Field Coordinator, you will play a key role in ensuring that property-related work orders, inspections, and preventative maintenance tasks are executed efficiently and accurately. You’ll collaborate closely with vendors, property hosts, and internal operations teams to maintain service quality, meet performance metrics, and ensure the timely completion of all field-related activities.
Note: This is a remote position and candidates will work U.S. business hours (EST).
Responsibilities
- Coordinate all property-related field work orders, ensuring completion within 24 hours to maintain operational efficiency.
- Assign, track, and follow up with vendors and field personnel to ensure timely service delivery.
- Review and verify completion reports, photos, and invoices for accuracy and compliance with company standards.
- Manage seasonal preventative maintenance programs, including winterizations, HVAC tune-ups, snow and salt services, and fall cleanups.
- Schedule and oversee semi-annual inspections, ensuring compliance with company protocols and maximizing revenue from inspection programs.
- Proactively plan and execute maintenance activities to prevent emergencies and reduce long-term costs.
- Collaborate with CSRs, vendors, and contractors to ensure smooth coordination of field tasks.
- Process field requisitions and anticipate future needs to stay ahead of incoming PH orders.
- Support vendor performance management by monitoring service quality and adherence to timelines.
- Maintain organized tracking systems for work orders, inspections, and maintenance logs.
- Identify process gaps and propose improvements to enhance coordination and response speed.
- Report regularly on field operations metrics, including WO completion rates, inspection progress, and maintenance status.
Requirements
- Proven experience in field coordination, operations, or property management roles.
- Strong organizational and coordination skills with the ability to handle multiple projects simultaneously.
- Detail-oriented mindset with a commitment to consistency, efficiency, and quality control.
- Excellent communication and problem-solving skills with a proactive approach.
- Proficiency in Microsoft Office Suite and familiarity with property management software (e.g., AppFolio, Buildium, or similar).
- Ability to work independently, remotely, and collaboratively across departments.
- Strong understanding of maintenance processes, vendor management, and scheduling best practices.
