We are seeking a detail-oriented and highly organized Finance and Accounting Administrator to join our Finance and Human Resources team. In this dual-support role, you will play an essential part in maintaining financial accuracy, compliance, and administrative efficiency across both departments. This position is ideal for someone who enjoys variety, organization, and working cross-functionally in a collaborative environment.

Required Skills

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook; intermediate Excel preferred)

  • Professional, customer-service-oriented demeanor with strong interpersonal skills
  • Basic understanding of payroll principles, timekeeping, and HR systems — experience with ADP Workforce Now preferred

Key Responsibilities - Finance & Accounting Support

  • Reconcile monthly corporate credit card statements, ensuring receipt documentation is complete and compliant.
  • Assist with invoice processing, vendor payments, and employee expense reports.
  • Support account reconciliations and maintain organized financial and vendor records.
  • Coordinate freight quotes, scheduling, and vendor correspondence as needed.
  • Prepare financial reports and spreadsheets for management review.
  • Assist with audit preparation, filing, and document retrieval.

Payroll Review and HR Administrative Support

  • Partner with the Controller and HR to review weekly and biweekly payroll reports for accuracy, verifying hours worked, pay rates, deductions, and other changes prior to submission.
  • Maintain and update employee files, ensuring confidentiality and accuracy in accordance with company policy.
  • Support onboarding by preparing new hire packets and coordinating with IT and managers.
  • Assist with HR communications, such as posting notices, preparing mailings, and tracking acknowledgments.
  • Provide administrative support to HR and Finance leadership on special projects as needed.

Job Type: Full-Time

Pay: $21.00–$24.00 per hour (based on experience and qualifications)

This rate reflects the expanded scope of duties, cross-departmental support, and current market benchmarks for Northern/Central NJ administrative professionals.
