Finance and Accounting Specialist

Position Description

Disability Network West Michigan is seeking an experienced and detail-oriented Accounting Specialist. This individual works out of the Muskegon office and is responsible for all financial activity in the 5-county area covered by DNWM. This position includes a broad range of work, from day-to-day accounting transactions to monthly State and Federal Grant reporting for reimbursement, to Annual reconciliation of funding received, and additional duties as required. Works to ensure compliance in finance and mission and protect the financial security of the agency.

Key Responsibilities

Accounting

  • Record transactions including AR & AP in Accounting Software daily or as required.
  • Banking, credit card, and investment account reconciliation
  • Reconciliation of Chart of accounts, guaranteeing balances in each account is correct.
  • Firm understanding of the connection of 3rd party software to the Chart of Accounts.
  • Maintain historical records and filing, paper and electronically.

Grant and Fund management

  • Ensure accurate fund expenditures based on Federal Indirect Cost Allocation principles and Federal, State and Donor Requirements.
  • Prepare and file financial reports monthly, or as needed, to Grantors for reimbursement and quarterly/annual reporting and reconciliation, web-based reporting required.
  • Electronic organization of all Grant documentation

Payroll and Benefits administration

  • Manage employee information in payroll software, process Bi-weekly payroll & reporting by cost center in accounting software.
  • Annual analysis of healthcare options and recommendations to CEO for approval, manage supplemental 3rd party insurance providers, track PTO & ESTA benefits and update as required, and other HR tasks as needed.

Budgeting & Cash flow Management

  • Prepare annual budgets for individual grant applications and for the agency in total.
  • Monitoring departmental performance in relation to the budget and ongoing changes to same.
  • Project cash flow to best preserve reserves and investments and maximize available funding.
  • Monthly reconciliation of banking, credit card and liability accounts for accurate reporting.

Internal Reporting

  • Prepare and present financial reports and analysis for the Finance Committee and Board of Directors

Internal financial controls

  • Ensure adherence to current financial controls and procedures to maximize efficiency and safeguard assets, implement additional controls as required by process or regulation including GAAP and non-profit regulation.

External Audit of Financial Statements

  • Prepare and manage external annual audit process.
  • Foster management collaboration in audit processes.

Leadership team

  • Strategize grant funding to align with services.
  • Collaborate to address management opportunities and challenges.

The successful candidate is an energetic professional who will serve on the leadership team. The candidate must be experienced in completing executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the challenges of supporting an office of diverse people.

Qualifications & Skills

  • Personal or significant experience with a disability is an asset
  • Bachelor’s degree in Accounting, Finance or related field
  • 3+ years’ experience in accounting, with specific experience in non-profit grant or fund accounting recommended
  • Software competency requirements include proficiency in QuickBooks with working knowledge of the Class function, proficiency in Excel using moderately complex formulas, and familiarity with bill.com or other 3rd party AP software, 3rd party payroll software
  • Strong analytical skills, attention to detail, and ability to communicate financial data to non-financial stakeholders both electronically and verbally.

Pay: $20.00 - $22.00 per hour

Experience:
