Keyhole Software is seeking an experienced and highly accountable Financial Controller to oversee and manage all financial operations across the organization. This role is responsible for the company’s financial operations, including hands-on execution (payroll, AP/AR, compliance), financial planning, forecasting, and partnership with leadership.
This hands-on role is responsible for both execution and financial oversight. Ideal for someone who enjoys owning the details while also contributing to higher-level financial insight and decision-making.
This position is hybrid, with an expectation of working part of the week onsite in our Lenexa, Kansas office. The Financial Controller reports directly to the CEO and works in close partnership with the leadership team.

- Own and manage all day-to-day financial operations
- Oversee accounts payable and accounts receivable, ensuring accuracy and timeliness
- Own the general ledger, month-end close process, and financial reporting accuracy (year-end closing reports, monthly bank reconciliations, etc.)
- Manage and execute payroll through Paychex, including hourly consultants with varying bill rates and pay rates across multiple states
- Ensure accurate revenue recognition aligned to consulting delivery and time tracking, following the IRS cash-flow accounting method for tax basis
- Pay all company obligations, including vendor invoices, expenses, insurance, and liabilities
- Administer the company’s 401(k) retirement plan, answering employee questions alongside the vendor fiduciary and plan advisor
- Develop and maintain profit projections, forecasts, and financial models
- Provide leadership with clear visibility into margin, utilization, and financial performance
- Analyze trends and identify risks and opportunities to improve profitability
- Provide financial insight and analysis to support leadership decision-making on financial performance, risk, and growth opportunities
- Partner with external CPA/accounting firm to manage state and federal tax compliance
- Oversee business insurance policies, including analysis, payment, and auditing cooperation
- Oversee multi-state tax implications, including nexus considerations related to distributed consultants
- Maintain all state registrations and filings, ensuring ongoing compliance
- Ensure adherence to financial controls, audit readiness, and best practices
- Generate, code, and distribute IRS Form 1095-C to employees, and file them alongside Form 1094-C with the IRS
- Maintain and optimize financial systems, including QuickBooks, Paychex, Empower 401(k), and a homegrown internal timesheet system
- Ensure alignment between financial systems and consulting operations (time tracking, billing, payroll)
- Identify and implement process improvements to increase efficiency and accuracy
- Active CPA licensure in good standing
- 5+ years of progressive accounting and financial management experience, preferably in consulting, professional services, or a similar utilization-based business model
- Bachelor’s degree in Accounting or Finance
- Proven experience managing complex payroll structures, including hourly employees with variable rates
- Strong understanding of multi-state tax compliance and regulatory requirements
- Experience working with external accounting partners and auditors
- Hands-on experience with QuickBooks and Paychex
- Strong financial modeling and forecasting capabilities
- High attention to detail with the ability to operate both strategically and hands-on
- Experience supporting a consulting or professional services organization with utilization-based revenue is strongly preferred
Competitive Compensation
This role offers a compensation range of $80,000 to $127,000 annually, depending on your experience, skills, and qualifications.
