Facilities Management (FM) Coordinator Job Description
We are seeking a proactive and organized Facilities Management Coordinator to support the efficient operation and maintenance of our facilities. The ideal candidate will have strong administrative skills, a solid understanding of facilities processes, and a commitment to maintaining a safe and functional work environment.
Key Details
* Experience Required: 2 to 4 years in Facilities Management or a related coordination role.
* Salary: 3,000 AED per month (All-inclusive)
* Employment Type: Full-time
Responsibilities
* Work Order Management:
* Receive, log, prioritize, and dispatch maintenance and repair requests (work orders) through the FM system or relevant communication channels.
* Follow up with internal staff and external vendors/contractors to ensure timely completion of all work orders.
* Maintain accurate records of all maintenance activities, repairs, and service requests.
* Vendor & Contractor Coordination:
* Assist in scheduling and coordinating third-party service providers (e.g., cleaning, HVAC, plumbing, electrical).
* Monitor vendor performance and ensure compliance with service level agreements (SLAs) and safety regulations.
* Process invoices and maintain updated records of vendor contracts and insurance documentation.
* Administrative Support:
* Manage and organize facilities documentation, including blueprints, equipment manuals, and maintenance logs.
* Assist the FM Manager with budget tracking, expense reporting, and procurement of supplies/equipment.
* Prepare regular status reports on facilities activities and maintenance backlog.
* Operational Support:
* Conduct routine site inspections to identify potential maintenance issues or safety hazards.
* Assist in coordinating office moves, space planning, and minor renovation projects.
* Ensure compliance with all local health, safety, and environmental regulations.
Qualifications and Skills
* Experience: 2-4 years of proven experience in facilities management, property management, or a similar administrative/coordination role.
* Education: A diploma or bachelor’s degree is preferred, ideally in Engineering, Facilities Management, Business Administration, or a related field.
* Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with Computerized Maintenance Management Systems (CMMS) or FM software is a significant advantage.
* Soft Skills:
* Excellent communication (verbal and written) and interpersonal skills.
* Strong organizational and time management abilities, with a capacity to multitask and prioritize effectively.
* Problem-solving attitude and the ability to work independently under pressure.
Job Type: Full-time
Pay: AED2,000.00 - AED3,000.00 per month
