Job Title: Front Desk Administrative Assistant

Location: Atlanta

Salary Range: $55,000 – $60,000


We are partnering with a highly exclusive private equity firm seeking a polished and service-driven Administrative Assistant to serve as the face of the office. This individual will deliver a seamless, high-touch experience for executives, board members, investors, and guests while ensuring day-to-day operations run smoothly. The ideal candidate is proactive, detail-oriented, and thrives in a refined, fast-paced environment where professionalism and discretion are paramount.


Key Responsibilities


Front Desk & Visitor Experience

  • Serve as the first point of contact, providing a welcoming and highly professional experience for all visitors
  • Ensure consistent front desk coverage during business hours, executive meetings, and board meetings
  • Manage visitor seating, desk assignments, and office space bookings
  • Maintain awareness of conference room schedules and coordinate with Executive Assistants as needed

Conference Room & Meeting Support

  • Prepare and reset conference rooms to maintain a polished and client-ready environment
  • Launch and troubleshoot Zoom meetings in conference rooms
  • Coordinate and oversee catering for board meetings, leadership meetings, and high-priority gatherings
  • Ensure meeting spaces are fully stocked, clean, and presentation-ready at all times

Office Operations & Facilities

  • Maintain cleanliness and organization of conference rooms, pantries, breakout areas, and supply rooms
  • Restock snacks, beverages, and office supplies
  • Monitor and discard expired food; manage refrigerators and shared spaces
  • Prepare offices and workstations for new hires and visiting professionals
  • Collect and distribute mail; create shipping labels and coordinate outgoing packages

Vendor & Administrative Support

  • Order and manage office and pantry inventory through approved vendors
  • Coordinate daily office lunches and accommodate dietary restrictions
  • Submit expense reports and provide administrative support to leadership as needed
  • Provide Executive Assistant coverage for senior leaders during PTO periods

Culture & Engagement

  • Participate in planning and execution of firm-wide events and internal initiatives
  • Serve as a culture ambassador, fostering a positive, polished, and team-oriented office environment

Qualifications

  • 2+ years of administrative or front desk experience in private equity, finance, or a similarly professional environment
  • Exceptional organizational skills and strong attention to detail
  • Professional demeanor with outstanding interpersonal skills
  • Proactive self-starter with a “no task too small” mindset
  • High level of discretion, integrity, and sound judgment
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (particularly Outlook); experience with Zoom and Concur preferred
