Overview
As the first point of contact for guests, the Front Desk Agent plays a vital role in shaping the overall guest experience. This position requires a combination of excellent communication skills, attention to detail, and a warm, service-oriented attitude.

Core Duties of a Hotel Front Desk Agent

Guest Check-In/Check-Out:

  • Greet guests warmly and professionally.
  • Process check-ins and check-outs efficiently using hotel systems.
  • Assign rooms and issue room keys or key cards.

Reservations Management:

  • Take phone, online, or in-person reservations.
  • Modify, cancel, or confirm bookings as needed.
  • Ensure accuracy in guest details and preferences.

Customer Service:

  • Address guest requests, questions, and concerns promptly.
  • Provide information about hotel services, local attractions, and directions.
  • Resolve complaints or escalate issues to management if necessary.

Handling Payments:

  • Process payments via cash, credit card, or other methods.
  • Manage billing, receipts, and deposits.
  • Handle foreign currency exchanges if applicable.

Communication & Coordination:

  • Communicate with housekeeping and maintenance to ensure room readiness.
  • Coordinate guest services such as wake-up calls, room service, or transportation.
  • Maintain logs and reports for management.

Record Keeping:

  • Update guest records and maintain accuracy in booking systems.
  • Balance cash drawers and prepare shift reports.

Security Awareness:

  • Monitor who enters and exits the building.
  • Follow safety and emergency procedures.
  • Report suspicious activity to appropriate personnel.

Upselling & Promotions:

  • Promote hotel amenities, upgrades, and loyalty programs.
  • Offer special packages or discounts where applicable.
