Overview
As the first point of contact for guests, the Front Desk Agent plays a vital role in shaping the overall guest experience. This position requires a combination of excellent communication skills, attention to detail, and a warm, service-oriented attitude.
Core Duties of a Hotel Front Desk Agent
Guest Check-In/Check-Out:
- Greet guests warmly and professionally.
- Process check-ins and check-outs efficiently using hotel systems.
- Assign rooms and issue room keys or key cards.
Reservations Management:
- Take phone, online, or in-person reservations.
- Modify, cancel, or confirm bookings as needed.
- Ensure accuracy in guest details and preferences.
Customer Service:
- Address guest requests, questions, and concerns promptly.
- Provide information about hotel services, local attractions, and directions.
- Resolve complaints or escalate issues to management if necessary.
Handling Payments:
- Process payments via cash, credit card, or other methods.
- Manage billing, receipts, and deposits.
- Handle foreign currency exchanges if applicable.
Communication & Coordination:
- Communicate with housekeeping and maintenance to ensure room readiness.
- Coordinate guest services such as wake-up calls, room service, or transportation.
- Maintain logs and reports for management.
Record Keeping:
- Update guest records and maintain accuracy in booking systems.
- Balance cash drawers and prepare shift reports.
Security Awareness:
- Monitor who enters and exits the building.
- Follow safety and emergency procedures.
- Report suspicious activity to appropriate personnel.
Upselling & Promotions:
- Promote hotel amenities, upgrades, and loyalty programs.
- Offer special packages or discounts where applicable.
