Front Desk Associate

At Color Along Pediatric Therapy, we focus on providing child friendly, family-centered services that are focused on addressing the needs of each child in areas where our experienced therapists can provide support. We work closely with families to make their goals a reality!

Color Along is looking to fill a Front Desk Associate poistion at our Orland Park and Hinsdale location.

We are looking for a hard-working, organized, flexible, resourceful, and motivated individual that wants to work in a multidisciplinary setting and make a difference in kids' lives.

For Orland Park:
Wednesday 12:00pm-7:00pm
Thursday 1:00pm-6:00pm

For Hinsdale:
Friday 11:30am-7:00pm

This is a flexible schedule, and may change due to business needs

Responsibilities and Duties

-Greet families and establish a welcoming environment for all who enter

-Answer phone calls and communicate messages to appropriate recipients

-Possess a comprehensive understanding of the therapy services offered at Color Along.

-Become familiar with our Electronic Medical Record (EMR) system for scheduling & payments

-Demonstrate understanding of insurance, deductibles, co-insurance, and co-pays.

-Complete new patient intakes

-Complete basic scheduling tasks in EMR system

-Ensure patient prescriptions are on file or else obtain from Pediatrician's office

-Ensure that all documentation needed to be faxed over to the respective pediatrician is completed in a timely manner

-Send out E-faxes for completed documentations from therapists and file away received signed paperwork from physicians and insurances as needed in patien folders.

-Maintain cleanliness of clinic space

-Ensure Patient forms are all completed and updated in the system.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Demonstrated experience in office management or administrative support roles
  • Bilingual abilities are highly valued to assist diverse clientele effectively
  • Previous experience as a dental or medical receptionist is a plus, including familiarity with calendar management and patient data entry
  • Exceptional phone etiquette skills for handling inquiries via multi-line phone systems with professionalism
  • Attention to detail for proofreading documents and maintaining accurate records
  • Ability to perform data entry quickly and accurately while managing filing systems
  • Strong time management skills to prioritize tasks effectively throughout the day
