Front Desk Coordinator

Job Overview
We are seeking an energetic and highly organized Front Desk Coordinator to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your proactive approach and strong organizational skills will ensure smooth daily operations, efficient scheduling, and effective communication across departments. Duties

  • Greet visitors and clients warmly, ensuring a positive first impression for everyone entering the office
  • Manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members with professionalism and courtesy
  • Maintain accurate appointment calendars, schedule meetings, and coordinate conference room bookings using calendar management tools
  • Handle data entry tasks such as updating contact information, maintaining filing systems, and processing correspondence with precision
  • Support office management by organizing files, proofreading documents, and assisting with clerical duties including photocopying and scanning
  • Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, memos, and presentations
  • Provide customer support by addressing inquiries promptly via phone or email while demonstrating excellent phone etiquette and customer service skills
  • Insurance claim / pre-treatment processing is a plus

Requirements

  • Previous experience as a dental or medical receptionist is advantageous but not required
  • Proven experience in office management or administrative support roles with strong clerical skills
  • Familiarity with front desk operations, multi-line phone systems, and office equipment
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry software
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Bilingual abilities are a plus to serve diverse client needs effectively; Spanish
  • Strong typing skills along with attention to detail for proofreading and document accuracy
  • Customer service orientation with professional phone etiquette and interpersonal skills
  • Personal assistant or bookkeeping experience is beneficial for supporting various administrative functions
  • Ability to manage time effectively while handling multiple responsibilities simultaneously

Pay: $18.00 - $30.00 per hour
