Role Overview

The Front Desk Esthetician plays a critical role in delivering a seamless, high-touch patient experience while supporting both administrative and clinical workflows. This role is the first point of contact for patients and serves as a key liaison between patients, providers, and operations.

You will manage scheduling, patient communication, and front desk operations while also supporting the clinical team as needed. This role is ideal for someone who is organized, patient-focused, and comfortable balancing administrative responsibilities in a fast-paced aesthetic environment.

Key Responsibilities

Patient Experience & Front Desk Operations

  • Serve as the first point of contact for incoming calls, texts, and in-person patient interactions
  • Deliver a warm, professional, and polished experience aligned with Galore Medical's brand standard
  • Educate patients on services, pricing, and treatment preparation as appropriate
  • Manage check-in and check-out processes including payments and consent forms
  • Handle sensitive or difficult conversations with professionalism and empathy

Scheduling & Patient Coordination

  • Schedule, reschedule, and cancel appointments accurately in Aesthetic Record
  • Manage provider calendars to ensure efficient patient flow and minimize gaps
  • Confirm appointments and follow up on no-shows and cancellations
  • Maintain accurate and up-to-date patient records and notes

Clinical Support

  • Assist providers with room setup, stocking, and turnover between patients
  • Support basic clinical tasks within scope including patient intake and documentation
  • Ensure treatment rooms and front desk areas remain clean, organized, and compliant
  • Follow all safety, HIPAA, and clinical protocols

Lead Management & Follow-Up

  • Respond to new patient inquiries from phone, text, website, and social media
  • Conduct timely follow-ups to encourage booking and retention
  • Coordinate with marketing and operations on promotions and patient outreach
  • Track basic lead and appointment conversion data

Team Collaboration & Operations

  • Work closely with providers and management to support daily clinic operations
  • Communicate scheduling updates and patient needs clearly across the team
  • Contribute ideas to improve patient flow, communication, and overall efficiency

Qualifications

  • Active esthetics license or certification in the state of Florida required
  • Experience in a medical office, medspa, or healthcare front desk required
  • Prior experience with Aesthetic Record or similar EMR systems preferred
  • Strong communication, multitasking, and organizational skills
  • Professional, calm, and patient-focused demeanor
  • Comfortable in a fast-paced, patient-facing environment
  • Genuine passion for aesthetics, wellness, and high-quality patient care

Pay: From $21.00 per hour
