Front Desk & Personal Assistant

Uplift Pelvic Health & Wellness, a local, woman-owned clinic redefining pelvic healthcare, specializing in innovative, patient-centered care, is looking for an authentic communicator and go-getter to be our next Front Desk & Personal Assistant. In this dynamic role, you will serve as the heart of our clinic, creating a meaningful first impression while balancing a variety of essential operations. A typical day includes everything from greeting patients and managing check-ins, to conducting discovery calls, coordinating new patient intake, and handling payment inquiries for our out of network clinic. Alongside patient-facing responsibilities, you will provide vital executive and administrative support to our clinic owner, from managing calendars to maintaining meticulous digital records. This is a part-time administrative position, approximately 20+ hours/week. The hours are Mondays from 9:00 a.m. until 2:30 p.m., Wednesdays and Fridays 7:45 a.m. to 4:15 p.m. with a 30 minute lunch break. Additional hours can be made available in 6 months to a year depending on the growth of the office and skillsets of the individual. Roles & Responsibilities of the Front Desk & Personal Assistant include the following:

  • Performing all tasks related to patient reception and clinic experience, including greeting patients, managing check-ins and check-outs, and maintaining a professional and welcoming environment.
  • Performing all tasks related to new patient intake and administration, including scheduling, conducting discovery calls, overseeing onboarding documentation, and coordinating referrals.
  • Performing all tasks related to billing and financial operations, including processing payments, managing packages and payment plans, selling packages, resolving patient payment inquiries, and performing account reconciliations.
  • Performing all tasks related to executive and administrative support, including coordinating business and personal calendars, handling travel arrangements, managing email correspondence, and processing vendor orders.
  • Performing all tasks related to clinic documentation and regulatory compliance, ensuring meticulous digital and paper record-keeping and adherence to HIPAA standards.

The Successful Candidates Will Meet the Following Requirements, Qualifications and Skill Sets:

  • 3+ years of Front Desk experience in a professional or medical office environment
  • 2+ years’ experience in a sales or sales administrative support role
  • 1+ years’ experience with practice management software, specifically inputting and auditing records
  • 1+ years’ experience working in a sales CRM like GO High Level
  • 1+ years’ administrative experience in a cash pay, high ticket environment handling objections
  • Experience creating and maintaining email campaigns (preferred, not required)
  • Fast and accurate data entry skills
  • Tech savvy, able to learn new software efficiently and effectively
  • Proficiency in phone communication, project management, and Google Suite software
  • Strong organizational, time management, and follow-through skills
  • Ability to handle difficult conversations regarding financial and billing obligations
  • High level of understanding regarding HIPAA Compliance Regulations
  • Ability to pass a drug test and background test

Work schedule: Part-time 20-24 hours per week

  • Mondays from 9:00 a.m. until 2:30 p.m. with a 30 minute lunch break

Compensation:

  • Starting hourly pay ranges from $ 19.00 - $ 21.00+/hr. based on demonstrable skill sets and years of experience

Pay: $19.00 - $21.00 per hour

Experience:

  • Front Desk Medical Office: 3 years (Required)
  • Sales administrative support: 2 years (Required)
  • EMR systems: 1 year (Required)
  • CRM software: 1 year (Required)
  • cash pay services: 1 year (Preferred)
