Front Desk Administrative Assistant

We are hiring a Front Desk Administrative Assistant to join SafeKick.

The right person in this role will become a critical member of the team, providing advanced support to get the important stuff done, all of which is varied, high-priority, and generally confidential in nature. Responsibilities for this position may include, but are not limited to:

  • Cover reception, attending to visitors and dealing with inquiries on the phone and face-to-face.
  • Provide general and clerical support as requested.
  • Tidy and maintain the breakroom and reception area.
  • Order office and corporate house supplies.
  • Assist SafeKick Staff with planning meetings, conferences, training, and other company events as requested.
  • Sort and distribute mail; scan and send received mail.
  • Receive checks and follow the procedure for check deposit.
  • Inspect janitorial and landscaper services’ work.
  • Assist with suppliers’ qualification.
  • Assist SafeKick Staff in travel arrangements.
  • Receive and schedule authorized shipments.
  • Assist the Admin Team and the Accounts Manager as needed.
  • Deal with staff’s certificates/documents, including filing and updating required spreadsheets/databases.
  • Approve invoices and code corporate credit card statements.
  • Review expense reports.
  • Create training certificates as needed for client training.
  • Handle sensitive, confidential, and proprietary matters on a routine basis with discretion.

Skills Required:

· Proficiency in Microsoft Word, MS Excel, and MS Outlook.

· Bilingual (English and Spanish/Portuguese) skills a plus

· Strong written and verbal communication skills

· Ability to work in teams and collaborate effectively with people

· Ability to work effectively in a fast-paced and rapidly changing environment

· Ability to take the initiative and drive for results

· Ability to effectively solve problems and make appropriate decisions

· Ability to prioritize tasks and to delegate them when appropriate

Preferred Qualifications:

· High School Diploma/GED;

· Knowledge of administrative and clerical procedures

SALARY: $17 - $19 hourly based on qualifications. Full-time.
