Front Desk Production Administrator

Job Description

The Front Desk Production Administrator is responsible for managing front desk operations and providing administrative support to the production department. This role requires excellent communication skills, multitasking abilities, and a customer focused approach. It provides a vital link between receiving, inventory, production, and shipping. Proficiency in verbal and written communication is essential for coordinating various interdependent functions.

Key Responsibilities

Greet and assist visitors in a professional and friendly manner.

Answer and redirect incoming calls to the appropriate personnel.

Manage incoming and outgoing mail and packages.

Provide exceptional Customer Service

Manage Logistics for outbound trailers.

Generate and update documents as needed.

Track inbound and outbound containers accurately.

Prepare and distribute productivity reports to supervisors and managers (daily and monthly)

Update shipping reports daily.

Assist assembly manager with miscellaneous reports and recordkeeping.

Ensure compliance with established internal control procedures, process specs.

Other duties may be assigned.

Qualifications

Associate or bachelor’s degree or above preferred.

Previous experience in an administrative role is required.

Experience in a production environment or related experience in manufacturing/ receptionist/ administrative role is required.

Computer skills: Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneNote)

Ability to write routine reports and correspondence.

Strong analytical skills, with the ability to define problems, collect data, establish facts, and draw valid conclusions.

Critical soft skills including attention to detail, sense of urgency, and effectiveness in pressure situations.
