Front Desk Receptionist

Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times
  • Manage multi-line phone systems with excellent phone etiquette, screening and routing calls efficiently
  • Handle incoming and outgoing correspondence, including emails, mail, and packages using Google Workspace and Microsoft Office tools
  • Maintain accurate records through data entry, filing, proofreading, and updating office databases
  • Support office management tasks such as calendar management, appointment scheduling, and organizing meetings
  • Assist with clerical duties like photocopying, scanning, faxing, and maintaining organized filing systems
  • Provide customer support by addressing inquiries promptly and professionally while maintaining confidentiality

Experience

  • Previous office experience or administrative support roles demonstrating strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills
  • Experience with multi-line phone systems and phone etiquette in a professional setting
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
  • Familiarity with office management tasks such as calendar management, filing systems, proofreading documents, and bookkeeping is preferred
  • Clerical experience involving customer service or reception duties in medical or dental environments is a plus
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
