Front Desk Receptionist

Job Summary
We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your proactive approach and excellent organizational skills will ensure smooth daily operations, support office management tasks, and create a positive first impression for everyone who walks through our doors. Duties

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and taking detailed messages when necessary
  • Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Support clerical tasks such as proofreading documents, managing correspondence, and organizing office supplies
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Provide exceptional customer support by addressing inquiries via phone or email with professionalism and courtesy
  • Maintain a tidy reception area and ensure all office equipment is functioning properly
  • Support additional administrative duties such as calendar management, proofing documents, and supporting personal assistant tasks as required

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy, including proficiency in Neos case management, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, Slack, data entry skills, and scanning
  • Familiarity with multi-line phone systems and phone etiquette to handle high call volumes effectively
  • Bilingual (English and Spanish) abilities are required to serve diverse client needs
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous experience as a legal, dental, or medical receptionist is a plus but not required
  • Exceptional customer service skills with a friendly yet professional demeanor
  • Ability to proofread documents accurately and maintain attention to detail in all tasks
  • Personal assistant or calendar management experience is beneficial for supporting executive needs
