Front Desk Receptionist

Duties

  • Greet visitors warmly, verify appointments, and direct them appropriately to ensure a welcoming environment
  • Manage multi-line phone systems, answer inquiries, transfer calls, and take detailed messages with professionalism and courtesy
  • Handle incoming correspondence, emails, and deliveries efficiently while maintaining organized filing systems
  • Support office management tasks such as calendar management, appointment scheduling, and data entry using Microsoft Office and Google Workspace tools
  • Perform clerical duties including proofreading documents, maintaining records, and updating databases like QuickBooks for bookkeeping purposes
  • Assist with customer support by addressing questions promptly and providing accurate information about services or appointments
  • Maintain a tidy reception area, manage office supplies inventory, and ensure all equipment functions properly

Experience

  • Proven office experience with strong clerical skills in a fast-paced environment
  • Prior experience in customer service or front desk roles, preferably in medical or dental settings such as medical receptionist or dental receptionist positions
  • Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
  • Familiarity with multi-line phone systems, phone etiquette, and organizational skills to manage busy schedules effectively
  • Bilingual abilities are highly valued to assist diverse client populations
  • Experience with bookkeeping or QuickBooks is a plus for handling financial transactions or record-keeping tasks
  • Strong typing skills along with excellent proofreading abilities to ensure accuracy in all communications
