Front Desk Receptionist | ARBRA Plastic Surgery Overview:
ARBRA Plastic Surgery is seeking a warm, detail-oriented, and organized Front Desk Receptionist to be the face of our patient experience. As the first point of contact, you will play a vital role in creating a welcoming and compassionate environment while managing essential administrative and scheduling tasks. This position requires strong communication skills, professionalism, and the ability to handle sensitive information with discretion.
Key Responsibilities: Patient Experience & Communication
- Greet patients and visitors warmly, ensuring a positive, professional first impression that aligns with ARBRA’s commitment to concierge-level care.
- Provide clear, empathetic guidance regarding appointments, paperwork, procedures, and financial responsibilities.
- Handle incoming calls, emails, and web inquiries promptly and professionally, directing as needed.
Scheduling & Office Coordination
- Schedule, confirm, and manage appointments for consultations, follow-ups, surgeries, and aesthetic services.
- Collaborate with clinical and surgical teams to coordinate scheduling of pre-op, post-op, and treatment appointments.
- Monitor appointment requests across multiple channels and optimize scheduling for patient flow and provider efficiency.
Administrative & Operational Support
- Collect and verify patient demographics, insurance details, and relevant medical history.
- Process patient payments, manage medical collections, and handle billing inquiries with accuracy.
- Maintain and update electronic health records (EHR) in compliance with HIPAA regulations, ensuring accuracy and confidentiality.
- Assist with medical coding (ICD-10, CPT) and insurance authorizations as needed.
- Perform general office duties: filing, scanning, correspondence, supply management, and maintaining a clean, organized reception and waiting area.
Brand Support & Excellence
- Support ARBRA’s brand initiatives by assisting with patient review requests, event RSVPs, and distributing informational materials.
- Proactively identify and recommend improvements to enhance the front desk workflow and overall patient experience.
Qualifications:
- Previous experience in a medical or dental office setting preferred.
- Familiarity with medical/dental terminology, coding (ICD-10), and EHR systems.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent verbal and written communication skills; professional, compassionate demeanor.
- Ability to work in a fast-paced, patient-focused environment while maintaining composure and attention to detail.
- Discretion and professionalism when handling sensitive patient information.
