Job Summary
We are seeking an organized, personable, and detail-oriented Front Desk Receptionist to join our dental practice team. In this role, you will be the welcoming face of our office, greeting patients, managing multi-line phone systems, and maintaining an efficient daily schedule. You will bridge the gap between patients, dental providers, and insurance companies by handling check-ins, medical record updates, and billing inquiries.
Responsibilities
- Patient Experience & Check-In/Out
- Greet patients warmly upon arrival, manage the check-in/check-out process, and handle patient intake paperwork.
- Manage patient flow within the reception area to minimize wait times and ensure comfort.
- Answer phone lines to respond to general inquiries, route calls, and address patient concerns with empathy.
Appointment Scheduling & Coordination
- Schedule appointments efficiently using dental practice management systems like Dentrix Ascend.
- Confirm upcoming bookings via text, email, or telephone to minimize late cancellations and no-shows.
- Optimize provider schedules to maximize daily chair time while keeping a balanced workflow for dentists and hygienists.
Insurance Coordination & Billing
- Verify insurance coverage and benefits eligibility with carriers prior to scheduled appointment.
- Submit insurance claims accurately and track their progress through to payment processing.
- Collect co-payments, process credit cards/cash, issue receipts, and manage outstanding patient balances.
- Present treatment plans to patients by outlining financial options and case estimates to promote care acceptance.
Administrative Support & Compliance
- Maintain electronic records by updating medical histories, charting data, and tracking specialist referrals.
- Ensure HIPAA compliance at all times to securely maintain patient privacy and protect medical data confidentiality.
- Organize office logistics by ordering front desk supplies, sorting mail, and coordinating with dental labs.
Skills
- Excellent computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry tools
- Prior experience with multi-line phone systems and phone etiquette is essential
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Experience in customer service or as a medical or dental receptionist is a plus
- Personal assistant experience or familiarity with calendar management enhances your candidacy
- Knowledge of bookkeeping software is advantageous
- Demonstrated professionalism in handling confidential information with integrity
