Medical Receptionist – Dermatology Practice (High Call Volume)

Position Summary:
We are seeking a friendly, organized, and customer-focused Medical Receptionist to join our busy dermatology practice. The ideal candidate will thrive in a fast-paced environment, manage a high volume of incoming calls, provide exceptional patient service, and ensure efficient front-office operations. This position requires excellent communication skills, attention to detail, and the ability to multitask while maintaining professionalism and compassion.
Essential Duties and Responsibilities:
- Answer and manage a high volume of incoming telephone calls in a professional and courteous manner.
- Schedule, reschedule, and confirm patient appointments for general dermatology, surgical, cosmetic, and specialty services.
- Register new patients and update demographic and insurance information accurately.
- Verify insurance eligibility and obtain necessary referrals or authorizations.
- Check patients in and out, collect copayments, balances, and required documentation.
- Respond to patient inquiries regarding appointments, prescriptions, referrals, pathology results, and general office procedures.
- Route messages to providers, nurses, and appropriate departments promptly and accurately.
- Maintain patient confidentiality and comply with HIPAA regulations.
- Scan, upload, and maintain electronic medical records.
- Assist with appointment reminders, recall lists, and patient communication initiatives.
- Manage incoming faxes, emails, and electronic correspondence.
- Coordinate with clinical staff to ensure efficient patient flow and provider schedules.
- Handle patient concerns professionally and escalate issues when necessary.
- Perform other administrative duties as assigned.
- Able to commute to any of the three offices.
Qualifications:
Required:
- High school diploma or equivalent.
- Minimum of 2 years of medical office or customer service experience.
- Strong computer skills and proficiency with electronic medical record (EMR) systems.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Professional appearance and demeanor.
Preferred:
- Previous dermatology, specialty practice, or medical receptionist experience.
- Knowledge of medical terminology and insurance verification processes.
- Experience with high-volume call centers or busy medical practices.
