We are seeking a professional and personable Front Desk Receptionist to serve as the first point of contact for our organization. Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel.
- Handle scheduling and calendar management for appointments, meetings, and events with accuracy.
- Perform data entry, filing, and document proofreading to maintain organized records and ensure information accuracy.
- Utilize office management software such as Microsoft Office and Google Workspace to support administrative tasks.
- Assist with bookkeeping tasks using QuickBooks or similar accounting tools to support financial record-keeping.
- Provide customer support by addressing inquiries, resolving issues professionally, and maintaining excellent phone etiquette.
- Support office management duties including supply inventory control, mail distribution, and maintaining a tidy reception area.
- Collaborate with team members to streamline office procedures and improve overall efficiency.
Requirements
- Proven experience in office administration, clerical work, or as a receptionist within professional environments.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
- Demonstrated customer service skills with a friendly yet professional demeanor.
- Experience handling multi-line phone systems and managing appointment scheduling efficiently.
- Bilingual abilities are highly desirable to serve diverse client populations effectively.
- Knowledge of medical or dental receptionist responsibilities is a plus but not mandatory; relevant personal assistant experience is beneficial.
