Responsibilities

  • Greet visitors and clients warmly, providing a professional and friendly first point of contact.
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously.
  • Handle incoming correspondence, emails, and inquiries with promptness and professionalism.
  • Maintain organized filing systems, data entry tasks, and ensure accurate record keeping.
  • Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace or Microsoft Office.
  • Assist with office management duties such as ordering supplies, proofreading documents, and supporting administrative projects.
  • Support customer service efforts by addressing inquiries, providing information, and offering support with a positive attitude.
  • Perform clerical tasks including typing reports, proofreading documents, and maintaining office cleanliness and organization.
  • Utilize computer skills for data entry, bookkeeping tasks using QuickBooks or similar software, and general office management.
  • Demonstrate excellent phone etiquette while handling sensitive information discreetly and professionally.

Experience

  • Prior experience in office management or administrative support roles is preferred.
  • Proven clerical experience including filing, data entry, proofreading, and document management.
  • Experience working with multi-line phone systems and providing exceptional customer support is highly desirable.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and visitors.
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and basic computer literacy is essential.
  • Previous roles such as dental or medical receptionist or personal assistant experience will be considered advantageous.
  • Strong organizational skills combined with time management capabilities to prioritize tasks efficiently in a fast-paced environment.
