Duties

  • Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and valued
  • Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently
  • Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
  • Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
  • Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including typing correspondence, managing email communications, and maintaining filing systems
  • Provide customer support by addressing inquiries promptly, offering information about services or appointments, and ensuring excellent customer service standards are met

Experience

  • Previous office experience or clerical experience is highly preferred; familiarity with front desk operations is a plus
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and basic data entry skills
  • Experience with multi-line phone systems and phone etiquette to handle high call volumes professionally
  • Bilingual abilities are desirable to serve diverse client needs effectively
  • Knowledge of office management practices such as calendar management, filing systems, and organizational skills are essential
  • Experience in medical or dental receptionist roles is advantageous but not required; training will be provided for specific industry needs
  • Personal assistant or administrative support experience can enhance your ability to juggle multiple responsibilities efficiently
