Front Desk Receptionist and Administrative Assistant

Role Overview

This is not a traditional front desk role.

You will serve as the first point of contact, lead manager, and sales driver for the practice—guiding prospective patients from initial inquiry to booked consultation.

Key Responsibilities

Patient Experience & Front Desk Operations

  • Greet and check in patients, ensuring a high-end, seamless experience
  • Manage daily front desk flow and coordinate with clinical staff
  • Ensure all intake forms, consents, and documentation are complete
  • Handle check-out, scheduling follow-ups, and reinforcing next steps

Lead Management & Conversion

  • Respond to all new inquiries via phone, text, and web leads
  • Engage leads quickly and professionally (goal: <10 minute response time)
  • Understand patient goals and guide them into appropriate services
  • Convert qualified leads into booked appointments

Sales & Revenue Support

  • Confidently explain services, pricing, and value
  • Handle common objections and guide decision-making
  • Identify opportunities for:
  • Memberships
  • Packages
  • Add-on treatments
  • Support providers in closing and retaining patients

Scheduling & CRM Management

  • Accurately schedule services in CRM/EHR
  • Maintain a clean and organized lead pipeline

Follow-Up & Patient Communication

  • Execute structured follow-ups for:
  • New leads
  • No-shows
  • Incomplete bookings
  • Re-engage past and inactive leads
  • Use personalized messaging to drive conversions

Administrative & Office Support

  • Manage phones, messages, and daily communication channels
  • Assist with clinic organization and readiness
  • Flag inventory or operational needs to team
  • Support event coordination and promotions

  • Experience in medical, wellness, aesthetics, or hospitality is preferred

Job Type: Part-time

Base Pay: $25.00 - $30.00 per hour
