Responsibilities
  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office or service.
  • Answer, screen, and forward incoming phone calls accurately and efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Receive, sort, and distribute daily mail and deliveries with precision.
  • Maintain office security by monitoring access and managing visitor logs.
  • Provide basic and accurate information in-person and via phone/email.
  • Order front office supplies and keep inventory of stock items updated.
  • Schedule meetings and appointments as required by executive staff.
  • Coordinate meeting room bookings and handle the room's availability.
  • Assist colleagues with administrative tasks and special projects as needed.
  • Handle customer complaints, provide appropriate solutions, and elevate issues.
Requirements
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in office management systems and procedures is essential.
  • Professional attitude with a solid commitment to exceptional customer service.
  • Excellent verbal and written communication skills are crucial for success.
  • Strong organizational skills and ability to multitask efficiently under pressure.
  • Knowledge of office management and basic bookkeeping practices is preferred.
  • A high school diploma; additional certification in Office Management is a plus.
