Front Desk Representative/Office Admin

Job Overview

We are seeking a professional and organized Front Desk Representative/Office Assistant to join our team. This role is vital in ensuring smooth office operations, providing excellent customer service, and supporting administrative functions. The ideal candidate will possess strong communication skills, proficiency in office management tools, and the ability to handle multiple responsibilities efficiently. Duties

  • Greet visitors and clients at the front desk with professionalism and courtesy
  • Manage multi-line phone system, screen calls, and direct inquiries appropriately
  • Logging detailed messages and contact information when necessary for calls
  • Perform data entry, filing, and maintain accurate records, light accounts payable/accounts receivable
  • Provide customer support via phone, email, or in person, ensuring excellent service standards
  • Assist with office tasks such as organizing files, maintaining office supplies, tidying conference rooms & reception area
  • Support administrative functions including handling mail (incoming/outgoing, postage, certified letters)
  • Perform clerical duties such as photocopying, scanning, and document preparation with high attention to detail
  • Maintain a professional appearance and demonstrate excellent phone etiquette at all times

Requirements

  • Proven experience in front desk, clerical work, or administrative support roles
  • Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent organizational skills with the ability to multitask efficiently in fast-paced environment
  • Exceptional communication skills both verbal and written; bilingual abilities are a plus
  • Demonstrated customer service expertise with a friendly demeanor and professional phone etiquette
  • Ability to handle sensitive information discreetly and maintain confidentiality
  • Prior experience as a receptionist/admin is advantageous but not required
  • Knowledge of office procedures such as filing systems, calendar management, and light bookkeeping is desirable
  • Problem solving skills

Benefits available after 90 day probationary period

Pay: $17.00 - $20.00 per hour
