Front Office Coordinator

Job Summary
We are seeking a dynamic and highly organized Front Office Coordinator to serve as the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will possess strong office management skills, demonstrate excellent communication abilities, and thrive in a fast-paced environment. As the first point of contact for visitors and callers, you will play a key role in creating a professional and friendly atmosphere that reflects our commitment to excellence.

Responsibilities

  • Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using proper phone etiquette
  • Handle all front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming correspondence
  • Maintain organized filing systems, perform data entry tasks, and ensure accurate record-keeping using office software.
  • Provide exceptional customer support by addressing inquiries promptly and professionally, both in person and via email or phone

Requirements

  • Proven experience working at a front desk or in an office environment with clerical responsibilities
  • Strong computer literacy including proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask effectively in a busy setting
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Demonstrated customer service skills with professional phone etiquette and interpersonal communication
  • Knowledge of medical receptionist duties is a plus
  • Ability to handle sensitive information discreetly while maintaining accuracy in recordkeeping and data entry
