Front Office Coordinator

Job Summary
We are seeking a dynamic and highly organized Front Office Coordinator to be the welcoming face of our organization. Duties

  • Greet visitors, clients, and vendors warmly, ensuring a professional and friendly atmosphere at all times
  • Answer and direct multi-line phone systems efficiently, maintaining excellent phone etiquette
  • Manage appointment scheduling and calendar coordination for staff and executives
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy
  • Maintain organized filing systems, data entry records, and ensure document proofreading for accuracy
  • Support office management tasks such as supply inventory, room bookings, and general administrative support
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, QuickBooks (if applicable), and other office software to streamline operations

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills
  • Exceptional customer service skills with a professional phone etiquette approach
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Experience with multi-line phone systems and calendar management software
  • Strong organizational skills with keen attention to detail in proofreading and filing tasks
  • Excellent time management skills with the ability to prioritize multiple tasks efficiently
