Roles and Responsibilities:
• Act as the primary liaison between the company and government departments (Labor, Transport, Municipality, etc.).
• Ensure timely processing and renewal of all licenses, permits, and documentation related to logistics operations.
• Handle visa processing, labor cards, and any other employee-related documentation (if applicable).
• Ensure company operations comply with local laws and regulatory frameworks.
• Manage end-to-end employee accommodation, including sourcing, leasing, and maintenance of housing facilities.
• Coordinate with vendors, landlords, and facility managers to ensure clean, safe, and well-maintained accommodations.
• Maintain updated records of accommodation allocations, contracts, and capacity planning.
• Address employee concerns related to housing and escalate when needed.
• Support onboarding and induction processes by ensuring smooth transition and housing arrangements for new joiners.
• Be the point of contact for employee welfare queries related to housing, transportation documentation, and basic amenities.
• Conduct regular inspections of employee accommodations and take corrective actions when needed.
• Maintain accurate records of all PRO-related transactions including government filings, permits, and leases.
• Ensure documentation related to employees (e.g., ID proofs, address, contract renewals) is up-to-date and compliant.
• Keep track of expiry dates for all licenses and contracts and renew them proactively.
• Liaise with third-party vendors for accommodation, travel, and facility maintenance services.
• Negotiate contracts with housing and service providers to ensure cost-effective and quality arrangements.
• Coordinate with HR, Admin, and Finance departments for smooth disbursement of rent, deposits, and bills.
• Address and resolve employee issues related to accommodation, municipal/legal concerns, or government documentation.
• Act swiftly in case of emergencies involving staff housing, legal queries, or government inspections.
• Provide regular reports to management on accommodation utilization, documentation status, and cost tracking.
• Keep management informed of any legal or compliance risks related to employee welfare or company operations.
Key Skills Required:
• Strong knowledge of government procedures and labor compliance related to logistics and manpower.
• Experience in handling accommodation for large teams (drivers, delivery staff, warehouse personnel, etc.).
• Excellent communication and negotiation skills.
• Ability to work under pressure and handle sensitive situations diplomatically.
• Strong organizational and record-keeping abilities.
Preferred Background:
• Experience in logistics, transportation, or manpower sector.
• Prior experience in facility management or employee welfare administration.
• Fluency in local language and familiarity with regional regulatory bodies.
