Head of Operations (Events & Exhibitions Industry only)

Role Summary:

We are seeking an experienced and dynamic Head of Operations – Exhibitions to lead the planning and execution of exhibition and experiential marketing projects. The ideal candidate will have deep expertise in managing end-to-end operations, vendor ecosystems, and large-scale activation, ensuring high-quality deliverables that align with brand objectives and client expectations.

Key Responsibilities:

1. Strategic & Operational Leadership:

Lead operations for all exhibitions, trade fairs projects under HT Brand & Promotions.

Define and implement operational strategies, systems, and best practices across projects.

Ensure alignment of operations with overall brand strategy, timelines, and business goals.

2. Project Planning & Execution:

Oversee planning and execution of events from concept to closure – including layouts, fabrication, logistics, installation, dismantling, and on-site coordination.

Create and manage detailed project plans, budgets, production schedules, and checklists.

Ensure timely delivery and quality control at all stages of execution.

3. Vendor & Partner Management:

Identify, empanel, and manage vendors for fabrication, logistics, technology, manpower, AV, etc.

Conduct vendor evaluations, cost negotiations, and performance reviews.

Maintain strong relationships with key partners for strategic advantage and seamless execution.

4. Compliance & Risk Management:

Ensure compliance with safety norms, local regulations, venue policies, and corporate standards.

Manage insurance, legal permits, risk assessments, and crisis planning for all events.

5. Cross-Functional Collaboration:

Work closely with creative, sales, client servicing, and finance teams to ensure operational alignment.

Act as the operations point of contact for internal stakeholders and external clients.

6. Budget Management:

Own the operations budget, ensuring cost control and optimization.

Forecast costs accurately and ensure adherence to client and internal financial guidelines.

7. Team Leadership:

Build, mentor, and lead a high-performing operations and production team.

Encourage innovation, efficiency, and accountability within the team.

Key Competencies & Skills:

Expertise in large-scale event and exhibition operations (B2B/B2C)

Strong leadership and vendor management capabilities

Knowledge of fabrication techniques, layouts, structural safety, and materials

Excellent budgeting, cost management, and negotiation skills

Problem-solving ability and agility under pressure

Strong communication and stakeholder management

Familiarity with AutoCAD layouts, technical drawings, and BOQs preferred
