Head of Property Management – Job DescriptionRole Overview
The Head of Property Management is responsible for the strategic leadership and operational performance of the property management function across the organization’s real estate portfolio. This role ensures efficient property operations, maximized asset value, tenant satisfaction, regulatory compliance, and financial performance, while leading property management teams and service providers.
Key ResponsibilitiesStrategic Leadership
- Develop and implement property management strategies aligned with overall business and asset management objectives
- Lead, mentor, and manage property management teams across multiple properties or regions
- Establish operational standards, policies, and best practices for property management
Operations & Asset Performance
- Oversee day-to-day property operations including maintenance, facilities management, security, and cleaning services
- Ensure properties are maintained to high standards, protecting and enhancing asset value
- Drive occupancy, tenant retention, and service quality in collaboration with leasing teams
- Manage service contracts and vendor relationships
Financial Management
- Prepare and manage operating budgets, service charge budgets, and forecasts
- Monitor property income and expenses to ensure financial targets are met
- Control operating costs and optimize service charge recoveries
- Approve invoices, contracts, and expenditures within delegated authority
Tenant & Stakeholder Management
- Build strong relationships with tenants, owners, investors, and internal stakeholders
- Oversee tenant communications, issue resolution, and escalation handling
- Ensure effective management of tenant complaints, disputes, and service requests
Compliance & Risk Management
- Ensure compliance with all relevant property, health and safety, environmental, and regulatory requirements
- Oversee inspections, audits, and statutory certifications
- Identify operational risks and implement mitigation strategies
- Ensure compliance with lease obligations and landlord responsibilities
Reporting & Performance Management
- Monitor KPIs including occupancy, operating costs, service levels, and tenant satisfaction
- Prepare regular performance reports for senior management and owners
- Implement continuous improvement initiatives across the property management function
Qualifications & Experience
- Bachelor’s degree in property management, real estate, business administration, or related field
- 10+ years of property management experience, including senior leadership roles
- Experience managing large, multi-asset or multi-site property portfolios
- Strong knowledge of property operations, facilities management, and landlord-tenant regulations
