Position Summary
The Executive Director leads the non-clinical operational and business functions of a hospice branch. This role ensures that all administrative, financial, regulatory and business development components are running smoothly, supporting the clinical team so that quality care is delivered and the branch meets its growth and financial targets.
Key Responsibilities
· Oversee day-to-day administrative operations of the hospice branch (e.g., admissions desk, scheduling, billing/claims, revenue cycle, office staff).
· Ensure regulatory and compliance requirements (state licensure, Medicare/Medicaid, accreditation) are met for administrative processes.
· Monitor and manage branch financial performance: budgets, expenses, revenue, profitability, variance analysis.
· Partner with clinical leadership to ensure appropriate staffing levels (administrative, intake, referral coordination) and efficient workflows.
· Develop and execute strategies for referral source development, community outreach, and growth of branch census.
· Supervise administrative staff (intake coordinators, billing specialists, scheduler, branch receptionist, referral liaisons) including hiring, mentoring, performance evaluation.
· Implement policies and standard operating procedures for administrative/operational functions and continuously drive improvement.
· Monitor key performance indicators (KPIs) such as admissions turnaround time, referral conversion rate, billing/AR days outstanding, census growth rate, branch cost per patient, etc.
· Coordinate branch audits, internal reviews and respond to surveyor findings related to administrative processes.
· Address operational issues, escalate when needed, and maintain strong internal communication between clinical, service delivery and administrative teams.
· Report to senior leadership on branch performance, growth initiatives, operational risks and opportunities.
Qualifications & Experience
· Bachelor’s degree in Business Administration, Healthcare Administration, Finance, or a related field. Master’s preferred but not required.
· Minimum of 5 years in healthcare operations or business management, preferably in hospice, home health or palliative care, with at least 2–3 years in a supervisory or branch management role.
· Strong financial acumen: experience with budgeting, P&L responsibility, revenue cycle management, cost control.
· Knowledge of hospice payment systems (Medicare, Medicaid, third-party payers), billing/AR metrics, regulatory compliance.
· Demonstrated record of driving growth (census/market share), referral source development, operational efficiency.
· Excellent leadership skills: ability to oversee teams, motivate staff, communicate effectively across functions (clinical, administrative, sales/referral).
· Strong analytical and problem-solving skills: ability to interpret data, propose process changes, manage change.
· Proficient with standard office software (Microsoft Office) and ideally experience with hospice/homes-health software systems (EMR, billing/claims, scheduling).
· Must be well-organized, detail-oriented, assertive but collaborative, and able to manage competing priorities in a dynamic environment.
Preferred Experience
· Experience managing a standalone branch or multi-site operations in hospice/home-health.
· Familiarity with accreditation agencies (ACHC and CHAP).
· Proven track record of successful referral development, staff retention, and measurable improvement in operational metrics.
· Experience with change management (e.g., implementing new software, redefining workflows, launching new service lines) in a healthcare setting.
Compensation
· Base Salary: $85,000 – $120,000 per year depending on experience
