HR & Administration Officer

We are seeking a highly organized and proactive HR & Administration Officer to manage the company’s human resources and administrative functions. The ideal candidate will support day-to-day HR operations, employee administration, recruitment, visa processes, and client coordination while ensuring smooth internal operations within a fast-paced interior design environment

Key Responsibilities

Human Resources & Employee Administration

· Manage all employee administrative work, including attendance tracking, weekly reports, leave records, and personnel documentation.

· Maintain accurate and up-to-date employee files.

· Oversee onboarding and offboarding processes, ensuring compliance with company policies and UAE labor regulations.

· Handle employee queries related to HR policies, benefits, and procedures.

Recruitment & Talent Acquisition

· Manage the full recruitment cycle from sourcing, screening, and interviewing to final hiring approval.

· Coordinate interviews with management and ensure a smooth candidate experience.

· Prepare job offers, employment contracts, and related documentation.

Visa & PRO Coordination

· Handle visa renewals and new visa applications for employees.

· Liaise with PRO services for all immigration, labor, and government-related processes.

· Ensure compliance with UAE labor laws and immigration requirements.

Client & External Communication

· Act as a point of contact for clients, responding to inquiries in a timely and professional manner.

· Communicate with clients to explain, promote, and offer company services while maintaining a positive company image.

· Schedule meetings with clients, suppliers, and internal teams, ensuring proper coordination and follow-ups.

Administration & Office Management

· Maintain an organized database of suppliers, clients, and business contacts.

· Manage and archive all company records, including employee files, projects, events, and office supplies.

· Support project teams with administrative coordination related to design projects and site activities.

· Assist with general office management tasks to ensure smooth daily operations.

Coordination & Support

· Coordinate with designers, project managers, and suppliers to support project timelines.

· Assist in organizing company events, meetings, and internal activities.

· Ensure confidentiality of sensitive employee and company information at all times.

Skills & Qualifications

· Excellent communication and interpersonal skills.

· Proficient in English and Arabic.

· Strong problem-solving and organizational abilities.

· Ability to multitask and work under pressure in a fast-paced environment.

· High attention to detail and strong time management skills.

· Professional, confident, and client-focused attitude.

Experience & Requirements

· Minimum 2+ years of experience in an HR/Admin role within the UAE.

· Strong knowledge of UAE labor laws, visa processes, and HR best practices.

· Previous experience in an interior design, construction, or creative industry is an advantage.

· Proficiency in MS Office and HR/admin systems.
