HR Assistant

SCOPE OF THE ROLE:

Responsible for managing and executing end-to-end HR operations, employee lifecycle processes, compliance, and people engagement while serving as the primary point of contact for all People and Culture functions.

KEY RESPONSIBILITIES:

  • General HR Operations:

Oversee and manage day-to-day HR activities, ensuring accurate documentation and policy compliance.

  • Employee Health Benefits & Insurance:

Handle employee health insurance and other benefits including enrolment, renewals, and claims. Ensure timely communication with employees about their benefits.

  • Attendance & Leave Management:

Maintain daily attendance records and manage the annual leave and leave tracking system efficiently.

  • Visa Coordination & PRO Support:

Provide employee documents and required data to the PRO for visa processing, renewals, and cancellations. Ensure timely follow-up and confirmation of visa statuses.

  • Employee Grievance Handling:

Act as a first point of contact for employee grievances and concerns, addressing issues in a professional and confidential manner.

  • Employee Records Management:

Maintain accurate and up-to-date employee records, both digital and physical. Ensure all documents are properly filed and organized.

  • Salary Advance Tracker:

Maintain and regularly update the salary advance tracker and ensure proper records and approvals are in place.

  • Recruitment & Hiring:

Coordinate the end-to-end recruitment process – job posting, shortlisting, interviews, and onboarding. Collaborate with department heads to fulfil staffing requirements.

  • HR Compliance:

Ensure HR practices comply with local labour laws and company policies. Assist in audits and documentation as required.

  • HR Documentation:

Prepare HR letters, contracts, confirmation letters, and other related documents as required.

  • People and Culture Engagement:

Promote a positive and inclusive workplace culture. Act as a People and Culture ambassador for all employees by supporting engagement activities and employee wellbeing initiatives.

  • Employee Relations & Culture:

Act as a People and Culture representative for all employees. Support initiatives that promote employee engagement, wellbeing, and a positive workplace culture.

Accountability:

  • Ensuring timely and proper execution of all HR operations
  • Accurate maintenance of attendance and leave records
  • Timely and error-free handling of employee health insurance and benefits
  • Maintaining updated salary advance and leave trackers
  • Providing accurate and complete employee data to the PRO
  • Addressing and documenting employee grievances appropriately
  • Supporting the recruitment and onboarding processes efficiently
  • Acting as a People and Culture representative to promote staff wellbeing and engagement

Authority:

  • Authorized to coordinate directly with external vendors (insurance, recruitment agencies, etc.) under HR supervision
  • Authorized to communicate employee-related data to the PRO as required for legal/visa processing
  • May escalate employee-related matters to Management when necessary.
  • ERP data addition and editing
  • Document Verifications

Skills and Qualifications:

  • Only candidates available for immediate joining will be considered
  • Master’s degree in Human Resources (MBA) or an equivalent degree is preferred
  • Minimum of 1 year of experience in HR or administrative roles preferred
  • Proficiency in English and Hindi is desirable
  • Strong knowledge of UAE Labour Law is essential
  • Proficient in Microsoft Office applications
  • Candidates must be currently residing in the UAE

Job Type: Full-time

Pay: AED2,000.00 - AED3,000.00 per month
