Job Summary:

We are looking for a proactive HR Assistant to support the HR department and handle front-office responsibilities. This role will involve managing HR tasks such as record-keeping, recruitment coordination, and assisting with employee engagement, alongside handling essential office management and front desk duties, including greeting visitors and managing communications.

Key Responsibilities:

1. HR Administrative Support:

  • Maintain and update employee records and files, ensuring compliance with company policies.
  • Assist with onboarding processes, including preparing new hire paperwork and coordinating orientations.
  • Help schedule and organize interviews, ensuring smooth communication between candidates and interviewers.
  • Support the HR team with tasks like leave management, payroll, and employee engagement initiatives.
  • Assist in organizing training sessions, workshops, and company events.

2. Front Desk & Office Management:

  • Greet and assist visitors, clients, and employees, ensuring a professional and welcoming environment.
  • Manage incoming calls, direct inquiries, and provide information as needed.
  • Handle mail, packages, and deliveries, distributing them promptly to the appropriate departments.
  • Ensure the office is well-stocked with supplies and coordinate with vendors as required.
  • Assist in scheduling meetings, managing calendars, and organizing company events.

3. General Support:

  • Provide administrative support to various departments as required.
  • Handle travel arrangements, bookings, and expense reporting for staff.
  • Maintain confidentiality when dealing with sensitive company or employee information.

Required Skills:

  • Strong verbal and written communication skills.
  • Excellent interpersonal and organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle multiple tasks with attention to detail.
  • Knowledge of basic HR functions and processes.
  • Problem-solving and time-management skills.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).
  • 1-2 years of experience in an HR or administrative support role.
  • Experience managing front desk or office responsibilities is a plus.

Working Hours: 12:00 AM to 8:00 PM
