HR Assistant

Job Title: HR Assiatant

Location: Rawalpindi

Department: Human Resources

Job Summary:

The HR Assistant will assist the HR department with various HR functions, including recruitment, employee relations, benefits administration, and record-keeping. All responsibilities, updates, and task outcomes will be reported directly to the HR Executive or HR Manager to ensure alignment with departmental goals and company policies.

Key Responsibilities:

1. Recruitment Support:

- Assist in the recruitment process by posting job vacancies, scheduling interviews, and coordinating with candidates, reporting all activities directly to the HR Executive or HR Manager.

- Prepare and coordinate onboarding for new hires, keeping the HR Executive or HR Manager updated on all onboarding processes and documentation completion.

2. Employee Relations:

- Act as the initial contact for employee inquiries and provide information on HR policies and procedures, escalating issues or complex questions to the HR Executive or HR Manager as needed.

- Support employee engagement activities and events, with regular status updates and planning details reported to the HR Executive/HR Manager.

3. HR Administration:

- Maintain accurate employee records in the HR information system (HRIS) and physical files, submitting regular updates to the HR Executive or HR Manager.

- Process documents related to employee status changes and report any updates directly to the HR Executive or HR Manager.

4. Benefits Administration:

- Coordinate with benefits providers and assist employees with benefits enrollment, changes, and inquiries, keeping the HR Executive or HR Manager informed of all transactions and issues.

- Support annual benefits enrollment and ensure the HR Executive or HR Manager is briefed on any enrollment updates or employee feedback.

5. Compliance and Policy Support:

- Monitor labor laws and company policy changes and report findings to the HR Executive or HR Manager for necessary action.

- Assist with audits, reporting, and development of HR policies under the guidance of the HR Executive or HR Manager.

6. Training & Development:

- Organize and coordinate training sessions as per the HR development plan, providing schedules and updates directly to the HR Executive or HR Manager.

- Track training completions and ensure the HR Executive or HR Manager is informed of participation records.

7. Employee Attendance & Payroll Support:

- Maintain attendance records and support payroll processing by directly reporting timesheets and attendance information to the HR Executive or HR Manager.

- Assist with leave management, ensuring accurate documentation and updates to the HR Executive or HR Manager on all leave records.

8. General HR Support:

- Assist in any ad-hoc HR projects or initiatives as required by the HR Executive or HR Manager.

- Foster a positive workplace culture aligned with company values, reporting suggestions and feedback directly to the HR Executive or HR Manager.

Requirements:

Education: Bachelor’s degree in Human Resources, Business Administration, or a related field.

Experience: 1-2 years in HR or administrative support roles preferred.

Skills:

Strong communication and interpersonal skills.

Excellent organizational skills and attention to detail.

Proficiency in MS Office (Excel, Word, PowerPoint) and familiarity with HR software/HRIS.

Ability to handle sensitive information with confidentiality and integrity.
