HR Assistant

Position: HR Assistant

Department: Human Resources

Reporting TO: HR Manager/ Operation Director

Location: UAE

Employment Type: Full-time

Job Purpose

To support the HR Manager and Operation Director in recruitment coordination, employee documentation, training administration, employee communication, and HR process implementation to ensure smooth HR operations across the organization.

Key Responsibilities

1️. Recruitment Support

· Receive manpower requirements from HR Manager.

· Understand job specifications and hiring criteria.

· Post job advertisements on job portals and sourcing channels.

· Screen applications and shortlist suitable candidates.

· Coordinate and schedule candidates for interviews.

· Arrange and line up shortlisted candidates for in-person interviews.

2️. HR Documentation & Letters

· Prepare HR correspondence and letters including:

· Offer letters

· Warning letters

· Memos

· Instruction letters

· HR notices

· Maintain employee document records and files.

· Ensure documentation accuracy and approvals.

3. Employee Communication & Grievance Coordination

· Act as first point of contact for employee HR queries.

· Receive employee grievances and concerns.

· Record and forward issues to HR Manager/ Operations Director or concerned department.

· Track resolution status and follow up.

4️. Training Coordination

· Coordinate with training vendors and institutes.

· Plan and publish training calendar for new joiners and employees.

· Arrange training logistics and attendance.

· Maintain training records and completion status.

5️. HR Processes & Performance Support

· Assist HR Manager in defining KRAs and KPIs for employees.

· Support performance documentation and tracking.

· Help in HR policy implementation and communication.

6️. Onboarding & Induction

· Support new employee joining formalities.

· Assist HR Manager in induction and HR orientation sessions.

· Prepare onboarding documents and checklists.

7️. General HR Support

· Maintain HR databases and trackers.

· Prepare HR reports and summaries.

· Support HR projects and initiatives.

· Perform any other duties assigned by HR Manager.

Skills & Competencies

· Basic knowledge of HR processes and recruitment

· Good communication and coordination skills

· Documentation and drafting ability

· Organizational and follow-up skills

· Confidentiality and professionalism

· MS Office proficiency

Qualification & Experience

· Bachelor’s degree in HR, Business Administration, or related field

· 1–3 years HR or recruitment support experience preferred

· UAE experience/ Home Country in manpower/recruitment industry preferred

Job Types: Full-time, Permanent

Pay: AED2,200.00 - AED2,500.00 per month
