POSITION SUMMARY
The HR Assistant – Payroll & HRIS Specialist provides critical support to the HR department with primary responsibility for payroll processing, HRIS data management, and related administrative functions. This role requires exceptional attention to detail, strong analytical skills, and the ability to manage sensitive and confidential information with discretion. The ideal candidate is highly organized, process-oriented, and thrives in a fast-paced manufacturing environment.
ESSENTIAL JOB FUNCTIONS
Payroll Administration (Primary Responsibility – 60%)
- Process bi-weekly payroll for hourly manufacturing employees using ADP Workforce Now
- Review and audit timecards for accuracy, ensuring proper coding for regular hours, overtime, premium pay, and shift differentials
- Maintain payroll records and ensure compliance with federal, state, and local wage and hour laws
- Reconcile payroll discrepancies and respond to employee payroll inquiries
HRIS Data Management (30%)
- Serve as primary administrator for ADP Workforce Now, SuccessFactors, and SAP HR modules
- Enter and maintain accurate employee data including new hires, terminations, transfers, and status changes
- Execute SuccessFactors and SAP transactions including training records, personnel requisitions (PRQs), and organizational changes
- Support data integration between payroll, timekeeping, and HR information systems
- Maintain employee personnel files in both physical and electronic formats
- Ensure all employee documentation is complete, accurate, and compliant with legal requirements
HR Administrative Support (10%)
- Provide backup support for recruitment and onboarding activities
- Assist with employee orientation logistics and new hire paperwork processing
- Coordinate uniform orders, distribution, and vendor payments
- Support administration of FMLA, workers' compensation, and leave of absence processes
- Assist with planning and coordination of quarterly employee events
- Distribute HR communications and maintain department bulletin boards
JOB REQUIREMENTS
Education & Experience:
- Associate's degree in Business Administration, Human Resources, Accounting, or related field preferred
- Minimum 2-3 years of payroll processing experience required
- Manufacturing or production environment experience strongly preferred
- Previous HRIS administration experience preferred
Technical Skills:
- Proficiency in ADP Workforce Now or similar payroll systems required
- Working knowledge of SAP HR modules preferred (training will be provided)
- Strong Microsoft Excel skills including formulas, pivot tables, and VLOOKUP functions
- Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint)
- Ability to learn new software systems quickly
Preferred Qualifications:
- Bilingual (English/Spanish) strongly preferred
- Knowledge of federal and state wage and hour laws
