Part-Time QuickBooks Bookkeeper

We are seeking an experienced, detail-oriented QuickBooks Bookkeeper to support our company on a part-time, 1099 independent contractor basis, approximately 15 hours per week, Monday through Friday (fixed work schedule). Open to Remote and/or Hybrid/Office

This role will manage all day-to-day bookkeeping activities in QuickBooks Desktop and QuickBooks Online, handle payroll processing and Florida-specific tax compliance, and coordinate closely with our Office Manager and CPA. The ideal candidate is highly organized, reliable, and communicates clearly.

Key Responsibilities:

Bookkeeping & QuickBooks Management

  • Manage all bookkeeping functions in QuickBooks Desktop and QuickBooks Online
  • Record, categorize, and reconcile all transactions accurately
  • Perform monthly bank, credit card, and loan reconciliations
  • Maintain accurate general ledger and chart of accounts
  • Ensure books are clean, current, and CPA-ready
  • Prepare monthly financial reports (P&L, Balance Sheet, Cash Flow)

Payroll & Florida Tax Support

  • Process payroll accurately and on schedule
  • Handle Florida payroll-related compliance, including:
  • Federal payroll taxes (Forms 941, 940)
  • Florida Reemployment Tax
  • Sales tax tracking and reporting (if applicable)
  • Estimated tax tracking (as applicable)
  • Prepare and file W-2s, 1099s, and other required payroll forms
  • Monitor deadlines and ensure timely filings and payments

Communication & Coordination

  • Communicate effectively with the Office Manager regarding documentation, schedules, and financial activity
  • Coordinate directly with our CPA for year-end close and tax preparation
  • Assist with bookkeeping-related IRS or state notices and provide documentation as needed
  • Maintain organized, well-documented financial records

Organization & Accuracy

  • Maintain strong organizational systems and internal controls
  • Track multiple accounts and entities accurately
  • Identify discrepancies and resolve issues proactively
  • Ensure confidentiality and security of financial information

Required Qualifications

  • Minimum 5 years of hands-on QuickBooks experience
  • Must have experience with QuickBooks Desktop AND QuickBooks Online
  • Strong knowledge of Florida tax requirements, including payroll, reemployment, and sales tax
  • Proven experience with full-cycle bookkeeping
  • Excellent organizational, time-management, and communication skills
  • Ability to work independently with minimal supervision
  • Comfortable collaborating with office management and CPA

Job Types: Part-time, Contract

Pay: $25.00 - $30.00 per hour
