Position Summary:
The HR Assistant will work primarily onsite in New York and report directly to the HR Manager. This role provides balanced support across human resources and general administrative functions, with approximately 50% HR responsibilities and 50% office administration.

The ideal candidate is highly detail-oriented, comfortable working with data and Excel, and eager to learn HR operations in a fast-paced office environment. Prior HR experience is not required.

Responsibilities:

  • Human Resources Support
    • Assist with recruitment and hiring coordination, including posting jobs, tracking candidates, scheduling interviews, and preparing onboarding documentation.
    • Support employee onboarding and offboarding processes, including orientation scheduling, document collection, and checklist tracking.
    • Maintain accurate employee records, HR files, and data logs, ensuring attention to detail and data accuracy.
    • Assist with HR data tracking and reporting, including headcount, hiring status, employee changes, and basic HR metrics.
    • Respond to routine employee questions and escalate issues to the HR Manager as appropriate.
    • Support HR-related projects, training coordination, and internal communications.
  • Administrative & Office Support
    • Provide general administrative support for daily office operations.
    • Process employee expense reimbursements, vendor invoices, and basic administrative paperwork.
    • Manage office logistics, including mail/shipping, office supplies, and equipment tracking.
    • Coordinate with external vendors and service providers as needed.
    • Maintain administrative records and prepare basic reports using Excel.
    • Support other administrative and operational tasks as assigned.

Requirements:

  • Experience:
    • No prior HR experience required.
    • Entry-level candidates, recent graduates, or career switchers are welcome.
  • Skills & Abilities:
    • Strong attention to detail and ability to handle confidential information responsibly.
    • Comfortable working with data, spreadsheets, and Excel (e.g., tracking lists, basic formulas, data organization).
    • Strong organizational and time-management skills.
  • Communication:
    • Clear written and verbal communication skills.
    • Able to work effectively with different teams and stakeholders.
  • Work Style:
    • Proactive, reliable, and willing to learn.
    • Able to thrive in a fast-paced and dynamic office environment.
  • Language Skills: Proficiency in Mandarin required.
  • Location: Onsite position based in New York.
  • Willingness to support occasional business travel, if required.
