Job Description – HR Coordinator

Job Title: HR Coordinator

Salary: ₹35,000 – ₹40,000 per month

Key Responsibilities

1. HR Operations & Documentation

Maintain and update employee records, personal files, and HR databases.

Prepare and issue HR documents including:

Appointment Letters

Confirmation Letters

Transfer Letters

Promotion Letters

Experience Letters

Relieving Letters

Warning Letters

Ensure all employee documentation complies with organizational policies and statutory requirements.

Maintain confidential digital and physical employee records.

Track pending employee documents and ensure timely completion.

2. Attendance & Leave Management

Monitor daily attendance across assigned schools.

Coordinate with school administrators to resolve attendance discrepancies.

Maintain employee leave records and leave balances.

Prepare attendance reports for payroll processing.

Generate daily, weekly, and monthly attendance MIS reports.

3. Employee Communication & Coordination

Serve as the primary HR contact for assigned schools.

Coordinate with Principals, Coordinators, Department Heads, and Administrative Teams on HR matters.

Respond to employee queries regarding HR policies, documentation, attendance, onboarding, and leave.

Communicate HR policies, circulars, announcements, and updates effectively.

Ensure timely follow-up on pending HR activities.

4. School HR Monitoring

Monitor HR operations across multiple school campuses.

Ensure compliance with HR policies, SOPs, and organizational guidelines.

Track staff movement including new joinings, transfers, resignations, and exits.

Follow up with schools regarding pending approvals, documentation, and HR updates.

Escalate critical HR concerns to the Corporate HR team.

Conduct periodic HR audits and maintain compliance records.

5. Recruitment Coordination

Coordinate interview schedules with hiring managers and school authorities.

Communicate with candidates regarding interview status and joining formalities.

Verify candidate documentation before onboarding.

Support induction and orientation programs for new employees.

Maintain recruitment trackers, interview records, and joining reports.

6. HR MIS & Reporting

Prepare daily, weekly, and monthly HR reports.

Maintain HR dashboards and employee databases.

Generate reports on:

Attendance

Leave

Recruitment

Employee Headcount

Documentation Status

Joining & Exit Reports

Ensure accuracy, confidentiality, and timely submission of HR data.

7. Compliance & HR Administration

Ensure HR processes comply with company policies and statutory requirements.

Coordinate with Finance, Administration, Payroll, and School Management for HR-related activities.

Support employee engagement initiatives, training programs, and HR events.

Assist during internal and external audits by maintaining accurate HR documentation.

Recommend process improvements to enhance HR efficiency.

Desired Candidate Profile

Educational Qualification

Bachelor's Degree in Human Resources, Business Administration, Management, or a related discipline.

MBA/PGDM in Human Resources will be an added advantage.

Experience

2–4 years of experience in HR Operations, HR Coordination, or HR Administration.

Experience in the Education sector will be preferred.

Technical Skills

Strong knowledge of HR documentation and employee lifecycle management.

Experience in attendance and leave management.

Familiarity with payroll inputs and HR operations.

Hands-on experience with HRMS/ERP software.

Advanced working knowledge of:

Microsoft Excel

Microsoft Word

Microsoft PowerPoint

Google Workspace (preferred)
